An inbox with a clock: every enquiry, how long it has waited, and one tap to ring, quote or book it.

Win and loss file themselves: when the linked quote is accepted the lead is Won, when it is declined the lead is Lost with the customer's reason. The pipeline value is the sum of real quotes, never a guess.
It will not
- Never guesses a lead's value before a quote exists
Booking link (customers request a booking)Every plan
A link you share; customers describe the job and when suits, and it lands in your Leads.
- Open Leads and tap your booking link to copy or customise it
- Put it on your website, socials or in a text
- Requests arrive in Leads with the customer's details and preferred time
The page is yours (your name, your branding) and the request lands as a lead with the clock already running, so you respond in minutes rather than finding it in an email days later.
It will not
- The public form never runs AI and never takes a payment
Booking requests from the portalEvery plan
A connected customer books a visit from their portal; the request lands in Leads, you approve, suggest a time or decline, and they can move or withdraw it until you book it in.
- The customer picks a time from your free windows in the next three weeks (or asks for as soon as possible if urgent)
- The request shows in Leads; approve it, suggest a time, or decline
- Approving books a shift and creates the job; a portal customer gets a confirmation email
Before you approve, the customer can change the time or cancel on their own and the inbox shows Reschedule asked. After you approve it is a job with a shift, and their asks come to you as messages on the job, never as a change to your schedule.
It will not
- A customer can never move or delete a shift
- Nothing auto-books: every booking is your approval
QuotesEvery plan
Write a quote, send it, and let the customer accept it from their phone.
- Open Quotes and tap New quote (or Smart quote to draft it from a sentence)
- Add line items from your price list or type them
- Send it; the customer gets a link to accept or decline
The price list builds itself from every quote and invoice you have already sent, so there is nothing to set up: the picker offers your real lines at your most recent price. Accepting a quote creates the job, so the loop closes without you.
It will not
- An expired quote cannot be accepted at the old price
Smart quote (draft a quote from a sentence)Every plan
Describe the job in plain words and Settle drafts the line items for you to check.
- Open Quotes and tap Smart quote
- Type the job as you would say it, with hours, rates and materials
- Review the draft, fix anything, then send
The draft lands as a quote you still own: labour separated from materials, rates as rates not totals, GST only when you said so. Nothing is sent until you have read it.
It will not
- Never invents a client name or email that was not in your description
Quote acceptance (the customer link)Every plan
Customers accept or decline from the link you send; accepting creates the job.

- The customer opens the link, reads it, and taps Accept or Decline
- An accepted quote appears as a new job; a declined one keeps the reason they gave
Acceptance is evidence: the customer typed their name and the time is recorded, which is a different fact from you ticking a box. The job is created from the quote with the agreed price attached, so every later claim reconciles to it.
It will not
- A draft quote has no link at all
- An expired quote is never shown as decidable
Run and bill the job
The job is the unit everything hangs off
Client, price, bookings, crew, photos, costs, variations and invoices on one screen, and the billing that reconciles to what was agreed.
JobsEvery plan

- Book it in, do the work, then Invoice it from the job
A job's dates come from its bookings, not from a field someone types, so the calendar and the job can never disagree. Completed jobs that are not yet invoiced are the queue Settle keeps in front of you, because that is where money goes missing.
It will not
- Never guesses a job's start or end date; no booking means no dates
Billing a job (deposits, progress claims, final)Every plan
Bill a fixed-price job in pieces that always add up to the agreed price, or bill tracked hours and costs with a live margin check.
- Open the job and tap Invoice
- Fixed price: pick Deposit, Progress or Final; Settle computes the amount from the agreed price
- Do and charge: tick the tracked hours and costs to include, check the margin line, and raise the invoice
Settle holds the agreed price against the job, so the final claim is the remaining balance by construction and the claims can never leave a stray cent unbilled. On do-and-charge jobs the invoice shows its margin before you send it, and warns if it loses money.
It will not
- Warns when a claim would pass the agreed total; never blocks, because absorbing a cost is your call
- Never re-derives a margin on a job with no price; it says "no price yet" instead
Variations (extra work on a fixed-price job)Every plan
Extra work as a record with its own price and its own approval, so it is billed instead of absorbed.
- Open the job and add a variation with a title and amount
- Send it for the customer to approve from a link, or record a verbal yes
- Approved variations widen the agreed total and can be billed
Approval is evidence three ways: the customer tapped approve and typed their name, or you recorded a verbal yes (and the record says who recorded it), or it is not approved and never enters the total.
It will not
- A sent or approved variation cannot be edited; the figures somebody decided on stay as they were
Job report and sign-off (for the customer)Every plan
A customer-facing report that writes itself from what actually happened, with photos and a sign-off.
- Open the job, add photos as you work
- Tap Share report to create a link (you can revoke it later)
- On site, the customer can sign off on the worker's phone
Nothing is typed for the report. Quoted, accepted, started and completed are facts the system recorded (the clock-on stamps the start), and a step that never happened is left out rather than guessed.
It will not
- Never shows cost, margin, markup, labour or pay data to the customer
- Never shows a step nobody recorded
Compliance certificates (electrical)Every plan
Tracks the statutory clock on a certificate from the real completion time; Settle does not issue or lodge certificates.
- Open the job and add the certificate with its scheme (NSW, VIC, other)
- Lodge it with the regulator's own system
- Type the number you were given back into the job
The countdown runs from when the work actually finished, a fact Settle recorded when the job was completed, rather than from whenever the paperwork was remembered.
It will not
- Settle does NOT issue or lodge certificates. In NSW a CCEW goes through the Building Commission NSW eCert portal (handwritten and PDF certificates are no longer accepted); in VIC a COES is bought and lodged through ESVConnect
- Only a scheme whose rule is verified gets a countdown (NSW, seven days); other schemes take a manual due date rather than an invented one
- Nothing in Settle is evidence of lodgement
InvoicesEvery plan
Every invoice with its status, a pipeline strip of what is owed, and one tap to send, chase or mark paid.

- Open an invoice to send it, download the PDF, mark it paid or edit it
Sent invoices flip to Overdue on their own the day after the due date, so the overdue list is always true without anyone tidying it. Marking an invoice paid also stops the automatic reminders for it.
It will not
- A sent invoice is never quietly demoted back to draft when edited
- Extending a due date does not un-overdue an invoice that already flipped
Create an invoiceEvery plan
A new invoice with your business details, GST and numbering already filled in.
- Open Invoices and tap the + button (or New invoice)
- Pick the client, add line items, set the due date
- Save as a draft, or send it to the client by email
Your business details, payment details and GST posture come from Settings and your history, so a new invoice is mostly done before you type. From a job, the invoice is raised against the job so the job knows what it has billed.
It will not
- Never prefills hours on a fixed-price job; the customer agreed a total, not an hourly bill
Chase payments and automatic remindersEvery plan
Chase overdue invoices yourself from one list, or let Settle send reminders in your name and stop when the money lands.

- Turn on Automatic reminders and set how many days after the due date they start
Automatic reminders are opt-in and off by default, because they email your customers unattended in your name. They stop the moment an invoice is paid, including when Xero reports the payment, so a chase never goes out on money that already arrived.
It will not
- Never chases a paid invoice, a draft, or a client with no email
- Never sends twice inside the cooldown, and stops after the maximum number of reminders and hands the invoice back to you
Pay Now (card payments on invoices)Every plan
A Pay Now button on your invoices so customers pay by card, with the money going to your own account.
- Open Settings, then Connections
- Connect your Stripe account (a guided setup)
- Every sent invoice now carries a Pay Now button and a payment link
The amount the customer pays is taken from the invoice on the server, never from the page, so a tampered link cannot change what is charged. A paid card payment marks the invoice paid on its own.
The day and the crew
Book it in, and the crew see it on their phones
Bookings are the only when a job has. Workers clock on in Team Hub with evidence, and the hours are approved before anyone is paid.
HomeEvery plan
Your day on one screen: a one-line brief, the money that needs a push, and what is booked today.

- Tap a booking to open the job
The brief is written from your real numbers each morning: jobs today, invoices waiting, completed jobs not yet invoiced. The cards only appear when there is something to do; when there is nothing, it says so instead of showing empty buttons.
Schedule (bookings)Every plan
Book a job onto days and people; the booking is the only "when" a job has.
- Open Schedule (or tap Book it in on a job)
- Pick the day or days, the time, and who is going
- Save; the job shows as Upcoming with its booked dates
A booking needs a place before it saves, so nobody is sent nowhere. Worked days are history and cannot be moved; future days can. Workers see today's stops on their own phone the moment you save.
It will not
- Never moves a day that has already been worked
Maintenance plans (recurring jobs)Every plan
A quoted job that repeats: visits appear on the schedule, workers get a checklist, and visits invoice per plan.
- Open Schedule and create a maintenance plan (or start one from an accepted quote)
- Set the frequency, price per visit, tasks and who goes
- Visits appear ahead of time; invoice completed visits from the plan
Changing a plan reconciles the visits already on the calendar, so workers are never shown the old day, time or price after you change it.
It will not
- Never invoices a visit that was not completed
Workforce (your crew)Every plan
Your crew on a board: who is on, where, since when; invites, join codes and team settings.

- Invite a worker by email, or share the team code so they join from their phone
- Approve the request; they clock on and off in Team Hub on their own phone
Workers clock on with a photo and location if you require it, and a tap made with no signal is kept and synced later with both times recorded. Seats are counted per plan; a departed worker is kept, not deleted, so their hours and pay history survive.
It will not
- Never deletes a worker's history when they leave
Timesheets and paying the crewEvery plan
Approve hours before they are paid, export a payroll file, and pay workers what the approved hours say.
- Open Workforce, then Hours
- Approve shifts (or fix a break first)
- Export the payroll CSV, or pay a worker's request from Expenses, Wages
The export carries how each shift was captured: who started it, whether a photo was attached, whether it was recorded offline and when it synced. A bare number of hours is a claim; a row with its evidence settles an argument.
It will not
- Never pays or invoices unapproved hours without saying so
CrewsEvery plan
Group workers into crews and book, filter and read the schedule by crew.
- Open Workforce, then Team settings, and create a crew
- Put workers in it
- Book a crew onto a job and filter the schedule by crew
A booking carries the crew it was made for, so the schedule reads per crew without anyone re-entering who was on it.
Daily site checklistEvery plan
Workers mark each site done as they go; you see N of M done on Home.

- Workers tick each stop in Team Hub; the calendar shows Done
It is opt-in, and the gate is enforced in the database, so a stale phone cannot keep marking sites after the plan changes.
Money out and the numbers
Every dollar out, and what it does to the job
Paid and owed are kept apart, GST is read off the bill, and a cost attached to a job moves that job’s margin.
Expenses and billsEvery plan
Every dollar out, split into paid and still owed, with a scanner that reads supplier bills.
- Open Expenses and tap Add, or Scan a receipt
- Mark it paid, or leave it as a bill owed with a due date
- Attach it to a job to see what it does to that job's margin
Spent is cash basis: money that has actually left the account, counted when it left. Bills owed are captured but unpaid and are never added into spent unless you ask for both, and then the answer says so. GST is read off the bill, never computed as a fraction of the total, because not every supplier charges it.
It will not
- The receipt scanner leaves anything it cannot read blank and names it, rather than guessing a total
- A bill with no due date is never treated as not urgent
Recurring expensesEvery plan
Bills that repeat on a schedule, recorded into the ledger once per occurrence.
- Open Expenses, then Recurring
- Add the expense with its amount and how often it repeats
- Record each occurrence when it is paid; the Dashboard shows the monthly load
Each occurrence reaches the ledger exactly once, even if two devices record it, so a repeating bill can never be counted twice.
SuppliersEvery plan
The businesses you buy from, assembled from your bills or added by hand: spend per supplier, your account numbers and your rep, with nothing to set up.
- Open Expenses, then the Suppliers card
- Confirm a suggested group once; its bills link and future bills with that exact name link themselves
- Or tap + to add any supplier yourself; just the name is enough
- Open a supplier to add your account number, rep and payment terms
Supplier records build themselves from the expense ledger instead of asking for setup, and the rollup shows what you actually paid from your own scanned bills. A similar-looking name is only ever a suggestion; nothing merges without your tap.
It will not
- Never merges two spellings without your confirmation
- No purchase orders or supplier catalogues; the bill stays the one ledger
DashboardEvery plan
Your numbers: income, spending, what is owed, what changed, and the deeper cuts.

- Open a section to see the detail; closed sections still show their headline
Every section speaks when it is shut: the headline figure sits on the drawer, so you read the whole business in one scroll. The Dashboard is cash basis (money counts when it moves); job costing is accrual on purpose, so a job can show a cost the Dashboard has not paid yet.
It will not
- Never blends a margin across jobs that have no price; those are counted and named separately
A scanned bill, honestly
Customers
One record per customer, and a portal they can see

Every customer with their contacts, sites, bill-to address, documents and a join code for their portal.

Adding a client with an email or phone that already exists links you to the existing record instead of creating a duplicate. A job form can add a client and a site inline, and a site remembers which client it belongs to.
It will not
- Never creates a duplicate client for the same email or mobile
Client portal (what your customers see)Every plan
Customers who connect with your join code see their quotes, invoices, jobs, bookings, the updates on each job and what remains of the agreed price.
- Open a client and share their join code (or send it by email)
- They sign in to the portal and enter the code
- They see their documents, the updates on each job, and can accept quotes, request a booking or write to you
The portal states the one thing nobody else can compute for a customer: deposit paid, remaining of the agreed price, using the same formula your job screen uses, so the two sides can never disagree.
It will not
- Customers never see your costs, margins, bank details or other customers
- The portal shows a partial total as partial, never as the whole
Customer updates (the thread on a job)Every plan
Every job carries one thread the customer can read in their portal: shared photos, notes a worker marked for them, the progress steps, and messages between you, your crew and them.
- Open a job: Customer updates shows what they can see and lets you reply
- A worker on site ticks Share with customer on a note, or you tap the eye on a photo or note
- The customer reads it in their portal and can write back; you get an email, they get one when you reply
The progress steps are recorded moments (clock-on, completion, sign-off, a lodged certificate), never typed, so the customer sees what actually happened. The worker on site answers from the stop, not a phone call the office relays.
It will not
- Nothing is shown the customer until someone shares it: photos, notes and costs stay private by default
- A customer asking to move or cancel a booking changes nothing until you act on it
Notes and voice notesEvery plan

Your GST registration is read from the ABN register at setup, so new quotes and invoices start with the right GST posture instead of a default.

Your logo and colours on invoices, quotes and emails, with no Settle watermark.

Documents and emails go out as yours, from your name, and from your own domain once you connect one.
Send from your own domainEvery plan
Invoices, quotes and reminders are sent from an address at your own domain.
- Open Settings, then Sender domain
- Enter your domain and add the DNS records it shows you
- Tap Verify
Sending never depends on this succeeding: until the domain verifies, and if it ever lapses, mail falls back to Settle's shared sender automatically.
Import (clients and invoice history)Every plan
Bring clients and past invoices in from a CSV, undoable as one batch.
- Open Import and choose Clients or Invoices
- Upload the CSV and confirm the column mapping
- Review the plan, import, and undo the whole batch if it looks wrong
Imported invoice history feeds your price list straight away, so a switch from another app starts with your real lines. Ambiguous dates are flagged rather than guessed.
It will not
- Never silently picks a day or month order for an ambiguous date
Plans (Solo, Team, Business, Enterprise)Every plan
Three sizes plus Enterprise, every one carrying every feature; they differ in worker seats and AI credits.

Xero syncEvery plan
Invoices go to Xero; payments recorded in Xero come back and mark the invoice paid.
- Open Settings, then Connections, and connect Xero
- Push an invoice from its page, and payments pull back every hour
- Reminders stop on their own when Xero says paid
Two rules make two-way safe: Settle never sends a payment to Xero, and the pull only ever marks an invoice paid, never unpaid. Xero is the book of record for money received; Settle for what the invoice says.
It will not
- Never unmarks a paid invoice
- Never pushes a payment
QuickBooks Online syncEvery plan
Push invoices and expenses to QuickBooks Online, one way.
- Open Settings, then Connections, and connect QuickBooks
- Push a record from its page
- The record remembers it has been synced
One direction, by design: Settle writes, QuickBooks never writes back, so nothing in your books moves without you.
It will not
- Never records payments into QuickBooks; that stays in QuickBooks
Google Calendar syncEvery plan
Your bookings appear in Google Calendar as timed events carrying the job.
- Open Settings, then Connections, and connect Google Calendar
- Tap Sync now, or wait for the hourly sync
- Cancelled bookings disappear from the calendar
Each event carries the client, the address and what is owed, so it reads as a job in your calendar rather than a bare appointment. It never carries cost or margin.
It will not
- One way: nothing edited in Google Calendar comes back into Settle
The AI
It reads your books, and it writes only when you say so
Every figure comes from your records through a tool. The Copilot can draft the work as well, and nothing is written until you tap Do it.
The assistant and the CopilotEvery plan
Ask about your money, get taken to the right screen, and on any plan describe what you want done and tap Do it. You can say it out loud instead, on any plan.

Every figure it shows comes from your books through a tool, never typed by the model. Nothing is written until you tap Do it, and what it does goes through the same paths the app itself uses, so the job number, the dedupe and the booking rules all hold. AI credits meter every call; the daily brief costs none.

- Never sends an email, deletes a record or changes a sent document
- Never estimates a number it did not read
AI usage and limitsEvery plan
How many AI credits your plan includes this month, how many you have used, and a daily limit you can set.

- Lower the daily limit, or pause AI for the whole account
Every plan carries a monthly allowance of AI credits and its own allowance of receipt scans, because reading a supplier bill uses a scan and not a credit. The daily brief on Home is never counted against either. Anything refused costs nothing.
